Case Logbook docs

Your cases

In short. The Cases tab lists every case you have logged or imported, with the patient’s name on each. Search finds any case, a toggle switches to a grid of photos, and tapping a case opens it for editing. Names and MRNs are scrambled on your phone; the servers never see them.

The list and names

Each row shows the date, the hospital, the procedure the way you word it, and the patient’s name, because surgeons recall cases by name. The MRN and an age and sex tag (for example 65 · M) sit beside the name. A case with more than one procedure shows +N more beside the main one. The count at the top is your total number of cases.

Names and MRNs are scrambled on your phone with your backup password. The list reads them on the phone; the servers hold only unreadable bytes. See Where your data lives.

  • A case with no name shows + Add name. Tap it and fill in the name only; the MRN is locked (The MRN).
  • A name that cannot be read on this device shows a small marker. Tap it for options. Reading names on a new phone is on Using a new or lost phone.
  • Offline is shown at the top. The list still opens with what this phone has already loaded.

Type in Search and any case matching a name, procedure, MRN or hospital surfaces, including cases from years ago that you have not scrolled to. A line above the list says how many cases match, with a Clear button.

List and Photos

Beside the count, a List | Photos toggle switches between this list and the Photos view, where every photo from every case is gathered. Photos are covered in Finding your photos.

Opening a case

Tap any row to open the case page. It shows the details, your notes exactly as you dictated them, the surgical team, any photos, and a filled from your notes line saying what the agent picked up. The … menu holds View edit history, Correct the MRN and Delete case.

Editing a case

Open a case and tap Edit at the top right. Change anything, then tap Save. The earlier values stay in the edit history, under the … menu.

  • The microphone beside Notes works the same as on capture. New words go in where your cursor was, not at the end.
  • Update case details from notes re-runs the agent over your latest text. If you edited the notes, the app saves them first so the new text is read. It fills in the details only; your notes are never changed.
  • The MRN cannot be edited in place. See The MRN.

Deleting a case

Open the case, tap …, choose Delete case, and type DELETE to confirm. If the case has photos, you choose between keeping them (they stay safely stored, unfiled) and deleting them too. The case then stops showing. If you delete one by accident, contact support; see Getting help.

Couldn’t load this case

This page appears when a case cannot be opened. The line under the heading says why, for example a server error or Couldn’t reach the server. Tap Try again; if your sign-in expired, sign in again first. Your case and its photos are not affected. If it keeps happening, report it with that line.

If you see This case isn’t here anymore, it was removed or the link is out of date.

What confirmed means

The small dot on each case shows whether a hospital’s own record agrees with it.

  • Solid dot: verified against a settlement record.
  • Ringed dot: partially verified.
  • Grey outline: not verified. This is normal for a case you logged yourself.

Confirmation comes only from a hospital settlement sheet, never from your own logbook. When a sheet arrives, older cases are checked again and upgraded automatically. How this works is on Importing your past cases.
